Executive Assistant to the Executive Director

The Global Business Coalition for Education, an initiative of Theirworld, a global children’s charity that believes we can collectively end the global education crisis.

In 2012, Theirworld established the Global Business Coalition for Education as a global movement of businesses to committed to this vision. Tackling the global education crisis takes the collective power of business and other stakeholders – and know-how to bring these voices together for positive change. The Global Business Coalition for Education serves as the business community’s social impact advisor, combining the expertise of education and business to develop customized programs and identify investments, partnerships, and opportunities that will have the greatest impact.

 

Executive Assistant

We are seeking an Executive Assistant to the Executive Director of the Global Business Coalition for Education and President of Theirworld as a full-time position based in New York City.

The main duties will include ensuring that the Executive Director’s time is managed strategically and that information is flowing across the organization and initiatives to ensure maximum success. This will include attending meetings and phone calls with the Executive Director and reporting back to members of the relevant teams, managing the Executive Director’s time, diary and priorities and liaising with multiple internal and external stakeholders using judgement and authority.

The Executive Director’s office works across the organization and is frequently the first point of contact for numerous individuals and organizations, both national and international.  It’s a dynamic and exciting place to work and requires extreme attention to detail and strategic thinking.

The role is an opportunity for a talented EA to support an organizational leader with a comprehensive package of proactive high-level support – from managing the prioritization and delegation of time and tasks through to leading on the compiling of briefing materials and presentations for internal and external meetings.

Some of the key responsibilities include:

  • Provide high-level support to the ED to ensure his agenda, priorities and objectives are met – including strategic diary and inbox management
  • Manage the CEO’s briefings, commission and coordinate from colleagues across the organization to ensure that the ED he is fully briefed for all meetings and travel
  • Manage strategic planning for team meetings and ways of working; support ED management and engagement with other members of staff in offices in the US and abroad
  • Be an informed key contact capable of handling internal and external inquiries in a professional manner and liaising with key contacts across corporate, political, media, NGO and other networks
  • Provide drafts of correspondence, memos and reports for approval
  • Serve as a point of contact for the broader team to ensure frequent communication between the Executive Director and members of the team across all offices
  • Ensure deadlines are met with timely advance preparation

 

Our ideal candidate has:

  • Exceptional writing, organizational, basic research
  • Ability to communicate effectively and professionally with a wide range of stakeholders
  • Ability to meet deadlines, balance, and adapt to multiple priorities, work flexibly in a fast-paced environment and work cross-culturally
  • The ability to own, organize and prioritize multiple tasks efficiently, manage reactive and proactive work from a range of colleagues, and deliver tasks to tight deadlines
  • A minimum of two years related work experience in a fast-paced, challenging work environment. Preference for individuals with prior Executive Assistant experience.
  • Team-orientation, with strong interpersonal skills and the ability to work both collaboratively, independently, and virtually with teams across offices
  • Great attention to details and copy-editing skills, with high standards of performance
  • Exceptional verbal and written communication skills, personable, proactive, and forward thinker open to new challenges in a dynamic working environment
  • Ability to meet deadlines, prioritize assignments, and juggle multiple tasks
  • A pro-active disposition with the ability to use your initiative and be able to think creatively to solve problems
  • Energy and creativity, with good interpersonal skills and the ability to work well in a team
  • The ability to pick up information and adapt to change quickly

The role reports to the Executive Director.
